Refund & Cancellation Policy

Kmedtest ("Kmedtest," "we," "us," or "our") is a Canadian-based health checkup facilitation service that connects North American clients with accredited hospital partners in Seoul, South Korea. Because appointments involve hospital scheduling, pre-examination preparation protocols, and bilingual concierge staffing, cancellations affect multiple parties beyond Kmedtest itself.

Our refund policy is structured around how far in advance you cancel. The more notice you give us, the more of your payment we can return. We will always tell you exactly what applies to your booking — no conditions buried in footnotes.

We may update this Refund Policy from time to time. Any updates will be posted on this page with a revised effective date.


1. Cancellation Windows & Refund Amounts

Refund eligibility is calculated from the date and time your written cancellation request is received by Kmedtest, not from the date you submit a form or initiate a bank request. All times are based on Korea Standard Time (KST, UTC+9).

31+ days before appointment 100% Full refund of all amounts paid, including deposit.
14–30 days before appointment 50% Deposit is partially refunded. Hospital reservation and administrative costs are retained.
14 days or less before appointment 0% No refund. The deposit is non-refundable at this stage. Rescheduling may be available — see Section 5.
KST reminder: If your appointment is at 8:00 AM KST on a Friday, the 30-day window closes at 8:00 AM KST on the Friday 30 days prior. Requests sent on weekends are timestamped at the time of receipt — we respond within 24 hours on business days.

2. How to Cancel

Cancellations must be submitted in writing by email. We do not accept cancellations by phone. Written notice creates a timestamped record that determines your refund eligibility.

Step 1 — Email us

Send your request to info@kmedtest.com with the subject line:
Cancellation Request — [Your Full Name] — [Appointment Date]
Include your booking reference number.

Step 2 — Receive written confirmation

Our team will confirm receipt within 24 hours (business days) and provide your refund amount in writing. Your cancellation window is locked at the time your email is received — not when we respond.

Step 3 — Refund is processed

Once confirmed, your refund is initiated within 3 business days. Time to appear in your account depends on your payment method and bank (see Section 4).


3. Non-Refundable Items

Certain costs are incurred by Kmedtest at the point of booking and cannot be recovered regardless of cancellation timing. These are itemised in your booking confirmation email before you complete your purchase:

  • Hospital reservation fees paid directly to the partner facility at the time of booking (typically $50–$150 depending on package tier)
  • Third-party visa consultation fees, if arranged through Kmedtest
  • Medical record translation services already completed prior to cancellation
  • Pre-arrival consultation calls that have already taken place
  • Payment processing fees charged by credit card networks or PayPal (typically 2–3% of the transaction amount)

4. Refund Processing Timeline

After we confirm your refund amount in writing, here is when you can expect funds to appear:

If you have not received your refund after 15 business days, contact us at info@kmedtest.com with your booking reference and we will investigate.


5. Rescheduling

If your plans change but you still intend to travel to Seoul, rescheduling is almost always preferable to cancellation. We strongly encourage this option when possible.

  • One free reschedule is permitted per booking if requested 15 or more days before the appointment. No fee, no penalty.
  • A second reschedule, or any reschedule within 8–14 days of the appointment, incurs a $75 administrative fee.
  • Rescheduling within 7 days of the appointment is not guaranteed and depends on hospital availability. A $150 administrative fee applies if we can accommodate the change.
  • Rescheduled appointments must take place within 12 months of the original booking date.
  • If rescheduling is not possible and you choose to cancel, the cancellation policy in Section 1 applies from the date of your original request.
Kmedtest Credit option: If you cancel within 0–7 days and are not eligible for a cash refund, we can issue 100% of your net refundable amount as Kmedtest Credit — valid for 24 months and applied to any future booking.

6. Medical & Emergency Exceptions

If a cancellation is caused by a documented medical emergency or acute illness affecting you or an immediate family member, we will review your situation individually and in good faith. Email us at info@kmedtest.com with the subject line Medical Exception Request — [Your Name] along with a brief description. We may request supporting documentation (e.g., a physician's note).

Eligible exceptions may include:

  • Acute illness that prevents travel, confirmed by a physician
  • Hospitalisation of the patient or an immediate family member
  • Death of an immediate family member within 14 days of the appointment
  • Government-issued travel advisory to South Korea at Level 3 or above, issued after the booking was made

Exceptions are reviewed within 5 business days. We are not able to issue exceptions for pre-existing conditions, general travel anxiety, voluntary plan changes, or airline schedule changes outside our control. We recommend travel insurance for comprehensive protection.


7. No-Shows

A no-show occurs when a client fails to arrive at the hospital at the scheduled time without prior notice to Kmedtest. No-shows are treated as a 0% refund cancellation (equivalent to cancelling within 0–3 days).

If you are delayed due to circumstances beyond your control — a flight cancellation, severe weather, or other emergency — contact us immediately at +1 (403) 999-4451 (WhatsApp available) and we will do our best to work with the hospital to minimise any financial loss.


8. Governing Law & Disputes

This Policy is governed by the laws of the Province of Alberta, Canada. Any legal disputes that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the courts of Alberta.

If you believe a refund has been handled incorrectly, you may submit a formal dispute to info@kmedtest.com. Disputes are reviewed by a senior team member not involved in the original booking and responded to within 10 business days.
